If you are a US-based Author selling products on WPBay, you are required to submit tax information using IRS Form W-9. Completing this form correctly allows you to withdraw funds from your WPBay account.

This WPBay guide explains who needs to submit a W-9 and what information is required. While we can’t provide tax advice, this article walks you through the process so you understand what WPBay is asking for and why.

Which tax form do you need?

Your tax residency determines which form applies:

  • US persons must complete Form W-9 (this article).
  • Non-US individuals must complete Form W-8BEN.
  • Non-US organizations must complete Form W-8BEN-E.

This article focuses only on the W-9 process for US sellers on WPBay. We provide separate guides for W-8BEN and W-8BEN-E.

What’s required from US sellers?

US sellers on WPBay are required to complete IRS Form W-9. This form collects basic identity and tax information, including your Taxpayer Identification Number (TIN).

Your TIN will usually be one of the following:

  • Social Security Number (SSN) – typically used by individuals and sole proprietors
  • Employer Identification Number (EIN) – typically used by companies and some LLCs

A WPBay Author account has one owner and the W-9 must reflect the details of that owner. The owner can be an individual or a business entity, but not a partnership at the account level. If multiple partners are involved, one partner must be nominated as the account owner and payouts are made only to that nominated owner.

What happens if you don’t submit your tax information?

If you do not submit a valid Form W-9, WPBay is required to not allow you to withdraw funds resulted after sales of your items.

How to complete and submit Form W-9 on WPBay

WPBay provides a built-in tax information flow inside your account dashboard. You can access it from your seller dashboard settings under Tax Profile.

Part 1: Personal or business details

In the first section of the W-9, you’ll provide your legal name, country and full postal address. Make sure the address is complete and accurate, as WPBay uses it for official tax correspondence.

You’ll then enter your tax ID type (SSN or EIN) and the corresponding number. Double-check this carefully, incorrect TINs can result in IRS penalties.

Part 2: Certification

In the final section, you certify that the information you’ve provided is correct. The purpose of Form W-9 is to establish your identity and status as a US person. Providing false information may result in penalties under perjury.

You’ll acknowledge the certification and provide your name as an electronic signature. Once submitted, you should see a confirmation message. After WPBay’s staff review, your tax submission will be approved. If it is rejected, you need to revoke it and resubmit it with correct data.

Frequently asked questions

How secure is my tax information?

WPBay takes data protection seriously and uses industry-standard security practices to store tax information securely.

I’m a US person but live or travel abroad, does this change anything?
